
Selecting the right vendors to partner with is critical to your success. Your vendor partners help you effectively meet your customers’ needs while remaining profitable. Choosing the wrong vendor can lead to higher prices, inefficiency and poor quality products or services.
The vendors you associate with are a reflection of your business, so you want to make sure to select companies that align with your values and operating philosophy. Therefore, it is important that you establish a rigorous vendor selection process.
This begins by clearly identifying your needs and what the vendor requirements are before you begin researching potential vendors. After reviewing a potential vendors, send request for proposals (RFP) to those you see as a possible good fit. You will need to evaluate the proposals and rank them based on the criteria you have identified. This could include technical expertise, pricing, and delivery timelines. After this review create a list of the top vendors that you want to meet with to negotiate contract terms, pricing, training, etc.
While price is an important consideration in selecting a vendor, it should not be the sole criteria upon which you base your decision. Lower prices can sometimes come with products that are lower quality or offer fewer services. Some things you will want to know about the vendor is their experience, expertise and capabilities in the trucking industry. You’ll also want to confirm their financial stability. You don’t want to add a vendor only to have them go out of business six months later. You will also want to investigate what they do in the event there is an issue with one of their products.
During the vendor selection process, make sure that the vendor understands your requirements including technical specifications, budget constraints and operating needs. Be as clear as possible about your expectations and once you have decided on a vendor, make sure the contract clearly delineates responsibilities for both parties so each side knows what is expected of them. Establish service level agreements that set performance expectations and remedies for failure to comply with the terms.
